All of our Executive Assistants are paired with a Client Success Manager who is responsible for their continuous improvement and development. We collect feedback on a monthly basis and create custom training plans for our Executive Assistants to enable them to continue to raise the bar every month. Additionally, we take pride in staying at the forefront of technology, and we consistently develop training that enables our EAs to take advantage of such developments.
The first step in the Onboarding Process is to jump on the Onboarding Call, we will dive deep into your needs, your preferences, and your style. Using the information from the Onboarding Call, we will kick off our pairing process, and you can expect to hear back from us in 72 hours with a pairing decision. Then, it is just a matter of scheduling your introduction call, where we will get things going and make sure that everything is set for success.
From the moment you sign up, to your kick-off day, you can expect for the process to take 15 days or less.
During the Onboarding Process, you will be working directly with our COO, who will take care of the Onboarding Call and keep you up to date with any developments in the process. Additionally, a Client Success Manager will keep a close eye on the pairing, ensuring your new Executive Assistant has access to all the resources needed to support you.
We take all the steps to make the onboarding process as smooth and efficient as it can be, but it is still recommended to plan on having at least an hour of daily availability to work with your EA during the first 2 weeks of your pairing.
As a good practice before kick-off day, it is recommended to put together a list of the tools that your Executive Assistant will need to have access to, as well as any resources you would like for him/her to review during their first day/few days on the job. For day 1, a kick-off meeting a the beginning of the day is ideal.
We are highly focused on generating ROI and our services are highly personalized. That being said, we will pair you with an Executive Assistant who has the experience and skill set to support you with the key tasks you need assistance with.
All our Executive Assistants will be able to take off tasks such as email management, calendar management, CRM management, invoice management, database maintenance, social media management, light video editing, light graphic design, document drafting, and any other specialized task that you specify during your onboarding process.
No, your Executive Assistant is fully dedicated to supporting you. A 1:1 relationship enables your EA to better understand what you do, and how you do it, and take care of issues before you even know about them.
Depending on the plan that you choose, you might be able to share your Executive Assistant with another important person in your life (Spouse, Business Partner, etc)
With our part-time plan, your EA will occasionally support colleagues and loved ones (organizing a team offsite or family trip), but you are their one-and-only delegator.
With our full-time plan, there can be up to two consistent delegators who can work directly with your Executive Assistant.
Your EA will work on your preferred schedule. Most of our Executive Assistants are located overseas, but they have years of experience working in sync with US timezones.
Whether your EA works during your time zone or asynchronously is up to you.
We've found that it is more effective for you to set up a single working block vs split hours throughout the day. Also, at least at the early stages of your pairing, it is ideal that there is at least some overlap between you and your EA.
Finally, working schedule decisions are not definitive, but you can make changes over time as you identify what works best for you.
Depending on the plan that you choose your Executive Assistant can work anywhere between 25 and 40 hours per week.
Part-time plan: 25 hours per week, 5 hours per day.
Full-time plan: 40 hours per week, 8 hours per day.
We understand that some weeks can be busier than others, and therefore that unused hours on your budget from one week/month can roll over to the next one. Those hours can then be used on busier or weeks or when you need support with a special project.
Now, if you are consistently over budget, we will reach out to discuss the best alternatives and next steps.
We proactively collect feedback on your EA's performance on a monthly basis. Although, you also have the option to submit extraordinary feedback at any moment, if there is something that requires our immediate attention. You can expect to hear back from us within the same day for feedback that required immediate attention.
We have spent years perfecting a process that enables us to be successful with our first pairing decision most of the time. But, sometimes it can happen that a partnership does not work out. If that happens, our Client Success Manager will address any concerns or performance issues with the Executive Assistant and work to resolve them.
While this doesn’t happen often, if your assistant needs to be replaced, we'll implement a smooth and tested transition plan with a new EA, minimizing
disruptions in your workflow. We typically provide transition credits in this situation.
Part-time: Your EA works 25 hours per week (100 hours per month) for $1,750 per month.
Full-time: Your EA works 40 hours per week (160 hours per month) for $2,650 per month.
